HoneyBook vs Bonsai — HoneyBook for Proposals, Bonsai for Time
HoneyBook Starter wins the proposal-to-payment loop for most freelancers. Bonsai Essentials wins if you also need time tracking. Here's the 2025-updated split.
HoneyBook or Bonsai for freelancers
It depends — here’s on what.
HoneyBook Starter if your core workflow is proposals → contract → payment. Bonsai Essentials if you also need time tracking and want to pay $10/month less.
- The Verdict: HoneyBook Starter if your workflow is proposals → contract → payment. Bonsai Essentials if you need time tracking bundled in.
- HoneyBook Starter: $29/month (annual) / $36/month (monthly) — unlimited clients, proposals, contracts, invoicing, payments, client portal.
- Bonsai Essentials: $19/month (annual) / $25/month (monthly) — same core set, plus time tracking; automations are basic only.
- Watch out: HoneyBook automations require an upgrade to Essentials at $49/month annual. Bonsai payments via your own Stripe account add a 1% platform fee on top of Stripe’s rate.
- Bonsai is now a Zoom company: acquisition closed December 2025; independent roadmap is gone.
After HoneyBook’s 89% price increase in February 2025 and Zoom’s completed acquisition of Bonsai in December 2025, the right choice for a solo freelancer depends on whether you prioritize a tight proposal→payment flow or bundled time tracking — not which tool was cheaper 18 months ago.
The Verdict
HoneyBook Starter at $29/month (annual) is the pick for freelancers whose primary need is a clean proposal-to-payment loop. The Smart Files feature — one shareable link that combines proposal, contract, and invoice — is the kind of workflow shortcut that actually ships you out the door. The client portal, e-signatures, and payment collection are all Starter-tier. You don’t pay extra to get the core job done.
Bonsai Essentials at $19/month (annual) is the honest alternative if you also want time tracking in the same product. That’s a $10/month difference — $120/year — and Bonsai delivers proposals, contracts, invoicing, and a client portal at that price. If you’re billing hourly and logging hours in a separate tool, consolidating into Bonsai makes sense.
The split is that simple. If proposals and payment collection are the job, HoneyBook wins on workflow. If you want proposals and time tracking and invoicing under one roof at the lowest possible price, Bonsai Essentials wins on value.
What neither tool does cheaply: automations. HoneyBook locks automated follow-ups and booking flows behind the Essentials tier at $49/month annual. Bonsai includes basic automations at Essentials, but they’re limited. If automation is your primary requirement, the calculus changes — but for most solo freelancers, it isn’t.
When to Use HoneyBook
You send a lot of proposals. You want the client to sign and pay in one step. You do not want to stitch together a proposal tool, a contract tool, and an invoicing tool — or manage which client is at which stage across three separate tabs.
HoneyBook Starter handles all of that. The Smart Files feature is genuinely differentiated: one link, one flow, client signs and pays. The client portal is included. Unlimited clients and projects are included. HoneyBook AI (basic) is included. You are not getting nickeled-and-dimed on seats because Starter is a solo plan by design.
Payment processing is 2.9% + $0.25 per Visa/Mastercard transaction, 3.4% + $0.09 for Amex, and 1.5% flat for ACH. No platform fee stacked on top. That matters — Bonsai charges an additional 1% if you route payments through your own Stripe or PayPal account on Essentials, which means your effective card processing rate becomes Stripe’s 2.9% + $0.30 plus Bonsai’s 1% — meaningfully more expensive at volume.
What Starter doesn’t include: automations, scheduling, QuickBooks sync, and SMS reminders. Those live behind the Essentials plan at $49/month annual ($59/month monthly). If you want set-and-forget follow-up sequences — inquiry comes in, proposal goes out automatically, reminder fires three days before the contract expires — you’re at $49/month, not $29. That’s a real cost to factor in.
HoneyBook is purpose-built for service-based freelancers: photographers, designers, copywriters, consultants, event pros. The template library reflects that. Onboarding is fast because the workflow is opinionated — there’s a right way to use it, and the UI guides you there.

When to Use Bonsai
You track time. You send proposals. You invoice clients. You want all three in one product and you don’t want to pay $29/month for a tool that lacks the first item on that list.
Bonsai Essentials at $19/month annual includes invoicing, payments, proposals, contracts, client portal, time tracking, task management, and CRM. That is a genuinely wide feature set for $228/year. For a solo freelancer billing hourly across multiple clients, it’s hard to argue with that combination at that price.
The catch on pricing: the $15/month Basic plan is a trap. It excludes invoicing, proposals, and contracts — the three things you actually need for client work. The real starting price for anyone who wants to use Bonsai for proposals is $19/month annual ($25/month monthly). The site advertises $15; ignore it.
The catch on payments: Bonsai Payments (their proprietary processor) charges 2.9% + $0.30 on Visa/Mastercard — comparable to HoneyBook. But if you want to use your existing Stripe or PayPal account instead, Bonsai adds a 1% platform fee on top of whatever Stripe charges. ACH through Bonsai Payments is 1% with a $1 minimum, which is competitive. International payments carry an additional 2.5% FX fee. Run the math against your typical invoice mix before assuming Bonsai is cheaper on processing.
The Zoom acquisition is a real consideration if you’re thinking long-term. Zoom completed the acquisition in December 2025. Pricing and the product are currently unchanged, but Bonsai’s independent roadmap is gone — Zoom controls where the product goes. If you’re committing to a workflow tool for three or more years, that uncertainty matters. If you’re evaluating on a month-to-month basis, it’s less urgent.
User reviews from Q1 2026 surface two recurring complaints: payment holds of 7–10 days on Bonsai Payments (users expecting 1–2 day settlements), and support response times stretching past nine days for some tickets. Neither is universal, but both are worth knowing before you route client payments through the platform.

What They Share
Both tools cover the core freelancer client workflow: send a proposal, get it signed, collect payment. Both include a client portal. Both offer e-signatures. Both support unlimited clients on their respective entry plans. The invoice and proposal quality is comparable — professional enough that neither will embarrass you in front of a client.
Payment processing fees are similar on card transactions when using each platform’s native processor. Both offer a 7-day free trial. Neither requires you to sign a long-term contract to use the product.
The honest baseline: if you pick either tool and use it consistently, you will have a better client operations workflow than you do running proposals through Google Docs and invoices through email.
What to Skip
Dubsado is the tool most freelancers ask about when comparing these two. Don’t start there. Dubsado’s Starter plan jumped from $20 to $35/month in December 2025 — a 75% increase — and that $35 tier strips out workflows, automations, scheduling, public proposals, and Zapier. You’d be paying more than HoneyBook Starter for less capability. The Premier plan at $55/month gets you the full feature set, but that’s nearly double Bonsai Essentials for a solo freelancer. Dubsado makes sense if you need deep workflow customization and you’re already familiar with its node-based flow builder. For a freelancer evaluating proposals tooling for the first time, the learning curve and the post-hike price aren’t worth it.
The Decision Rule
If your question is “how do I send a proposal, get it signed, and collect a deposit without thinking about it too hard” — use HoneyBook Starter. The workflow is tighter, the UI is faster, and Smart Files is a genuine differentiator.
If your question is “how do I track my hours, send proposals, and invoice clients without paying for three separate tools” — use Bonsai Essentials. The $10/month savings over HoneyBook Starter is real, and the time tracking inclusion removes a tool from your stack.
If you want automations on a budget, neither tool delivers them cheaply at entry tier. HoneyBook Essentials at $49/month annual is the cleaner automation experience. Bonsai’s basic automations at $19/month are functional but limited. That upgrade to HoneyBook Essentials costs $240/year more than Bonsai Essentials — only you know if the workflow improvement is worth it.
