Your 3–6 person service team is losing clients in the gap between pitch and invoice. The proposal goes out in one tool. The invoice gets built in another. Someone copies line items by hand, the numbers drift, the client gets confused, and you look disorganized before the work even starts. You’re also paying for two subscriptions to create this problem.
Stop. Just use FreshBooks Premium.
- The Pick: FreshBooks Premium — $70/month, unlimited clients, native proposals that convert to invoices in one click, project profitability tracking
- Entry Point: FreshBooks Plus at $43/month covers proposals and e-signatures for teams under 50 billable clients — start here and upgrade when you hit the cap
- Both tiers: $11/person/month per additional seat — a 3-person team on Premium runs $92/month ($81/month annual)
- Skip: Wave (no proposals at all), Bonsai (Zoom acquisition makes the platform a liability), HoneyBook (no double-entry accounting, not priced for multi-seat teams), Dubsado (no full accounting, steep setup cost)
Why We Picked FreshBooks Premium
FreshBooks isn’t the flashiest tool in the proposals category. HoneyBook has a prettier UI. Dubsado has deeper CRM workflows. But FreshBooks is the only tool here that handles the full proposal-to-payment pipeline — proposals, e-signatures, project tracking, invoicing, and double-entry accounting — without requiring a second tool to close the loop.
The proposals feature is native, not bolted on. A client accepts your proposal with an e-signature inside FreshBooks, and that proposal converts to an invoice in one click. No copy-paste. No “which version did we send them?” The line items, rates, and scope you proposed are exactly what gets billed. That alone eliminates the most common source of client friction at contract close.
Premium unlocks the features that matter at team scale:
- Unlimited billable clients (Plus caps at 50)
- Project profitability tracking — capacity planning, cost rates, project estimates, expense markup, and profitability reports per project
- Accounts payable — bills and vendor management with automated receipt capture
- Email customization for client-facing communications
Project profitability tracking is the reason to upgrade past Plus, not just the client cap. If your team does fixed-fee work — and most small service teams do — scope creep is a silent margin killer. FreshBooks Premium shows you per-project profit in real time, which means you can catch a runaway project at week two instead of the final invoice.
Pricing reality for a small team:
- 3-person team on Premium (monthly): $70 + $11 + $11 = $92/month
- 3-person team on Premium (annual): approximately $81/month
- 5-person team on Premium (monthly): $70 + ($11 × 4) = $114/month
FreshBooks has raised list prices twice in the past year — the current $70/month Premium tier replaced a $60/month tier in early 2025. That’s real money. But compare it to running a separate proposal tool ($20–$50/month) alongside Wave or QuickBooks ($25–$50/month) and you’re usually still ahead, plus you’ve eliminated the integration failure points.
Where FreshBooks Premium falls short: Payment processing fees are 2.9% + $0.30 for Visa/Mastercard, 3.5% + $0.30 for Amex, and 1% for ACH (capped at $15). These are market-rate fees, not penalties, but they’re not included in the subscription. If you’re processing high-volume card payments, run the math. ACH is the move for larger fixed-fee invoices.

The Real Runner-Up Is FreshBooks Plus
The runner-up here isn’t a different tool — it’s a different tier of the same tool. FreshBooks Plus at $43/month covers the core proposal workflow: unlimited proposals, e-signatures, deposit collection, client retainers, double-entry accounting, and automated recurring invoices. If your team hasn’t hit 50 billable clients, Plus is where you start.
The upgrade trigger to Premium is specific: you either exceed 50 clients, or you need project profitability tracking, or you need accounts payable for vendor management. Don’t pay $27/month more than you need to.
A 3-person team on Plus runs $43 + $22 = $65/month on monthly billing. That’s $27/month cheaper than the same team on Premium. Over a year, that’s $324. Keep it until the numbers justify the upgrade.
Start with FreshBooks Plus — upgrade to Premium when you hit 50 clients
Why Not the Alternatives
Wave is ruled out the moment proposals enter the conversation. Wave’s invoicing is solid and the price is right (free), but Wave has no proposals feature on any plan. It handles estimates — a one-page price summary — not formal proposals with scope, terms, e-signatures, and deposit collection. If you send formal proposals, Wave requires you to run a second tool alongside it, which is exactly the problem we’re solving.
Bonsai was the obvious competitor in this category twelve months ago. It’s off the table now. Zoom acquired Bonsai in December 2025. The platform remains standalone for now, but Zoom has stated publicly that Bonsai’s capabilities will be absorbed into the Zoom platform over time. Trustpilot and G2 reviews from Q1 2026 still surface 7–10 day payment holds, and support response times cluster around nine days post-acquisition. Betting your client pipeline on a platform being absorbed into a video conferencing company is not a risk worth taking at any price.
HoneyBook is the right tool for one specific person: the solo creative — a photographer, event planner, or designer — who lives inside a visual client portal workflow. At $59/month for Essentials (or $129/month for Premium with team access), HoneyBook’s proposal UX is genuinely good. But it has no double-entry accounting. That means you still need a separate bookkeeping tool, and you’re paying HoneyBook’s price on top of it. For a multi-seat team that needs to see real financials, HoneyBook doesn’t close the loop. It also raised prices 68% in February 2025, making the value case harder to justify. More importantly, we wouldn’t recommend it for this persona regardless.
Dubsado has the deepest CRM workflow of any tool in this category — branded proposal forms, smart field logic, client portals, automation workflows. The Premier plan is $40/month, but tiered user fees start at $25/month for 4–10 users, which gets expensive fast for a small team. More importantly, Dubsado includes only basic bookkeeping reports — not full double-entry accounting. You’ll still need a separate accounting tool, and you’ll spend significant time in Dubsado’s setup before you send your first proposal. The learning curve is real and well-documented. Same situation as HoneyBook: not the right fit for this persona.
QuickBooks Online handles accounting well — better than FreshBooks on the bookkeeping depth side — but proposals are not a native feature. You’d still be running a separate proposal tool and syncing manually. For a team whose primary pain is the pitch-to-invoice gap, QuickBooks solves the wrong half of the problem first.
Xero is in the same position as QuickBooks: strong double-entry accounting, no native proposals. Xero makes sense if you need multi-entity accounting or are already embedded in an accountant workflow that prefers it. It does not solve the proposal problem.
When to Revisit
If your team scales past 15–20 people and you need true CRM pipeline management alongside proposals, FreshBooks will start to feel thin on the sales-process side. At that point, look at pairing a dedicated CRM with FreshBooks for accounting, or evaluate whether you’ve outgrown the small-team category entirely. For a 3–6 person service team sending proposals and billing the same clients, FreshBooks Premium is the answer through that entire growth range.
