QuickBooks vs Xero — Seat Tax vs Sticker Price

QBO Simple Start is $38/month. Xero Growing is $55/month. The $17 gap is real — but the seat-tax trap that hits when you add a bookkeeper costs you a lot more.

QuickBooks Online or Xero for freelancers

It depends — here’s on what.

Xero Growing if you'll ever add a bookkeeper or collaborator. QuickBooks Online Simple Start if you're deep in the US tax ecosystem and flying solo.

  • The verdict: Xero Growing ($55/mo) for most freelancers. QuickBooks Online Simple Start ($38/mo) if US tax integrations are non-negotiable.
  • Winner if you’ll add a bookkeeper or VA: Xero — unlimited users on every plan, no seat tax ever
  • Winner if you use TurboTax or a ProAdvisor: QuickBooks — the US tax ecosystem integration is genuinely unmatched
  • Heads-up: Xero Growing increases from $55 to $59/month on October 1, 2026. Prices in this article reflect the current rate.
  • The real Xero entry point: Xero Early ($25/mo) caps you at 20 invoices and 5 bills per month — most active freelancers immediately need Growing ($55/mo)

You’ve outgrown Wave. You need double-entry bookkeeping, a clean audit trail, and something your accountant won’t groan at. Now you’re staring at two options: QuickBooks Online Simple Start at $38/month or Xero Growing at $55/month. The $17/month gap looks like an obvious answer — until you realize that gap disappears the moment you hand a bookkeeper login credentials.

The Verdict

Xero Growing wins for most freelancers who have any chance of collaborating with a bookkeeper, a VA, or a business partner. Xero charges a flat $55/month regardless of how many users are on the account. QuickBooks Online Simple Start is locked to one user — the moment you need a second login, you’re forced to Essentials at $85/month. That’s a $47/month jump for one extra seat. Xero Growing costs less than QuickBooks Essentials and gives you unlimited users. The math isn’t close.

The exception is real though: if you’re a US-based sole proprietor who handles your own taxes via TurboTax, works with a ProAdvisor, or relies on Schedule C-specific workflows, QuickBooks Online Simple Start earns its $38/month. Intuit’s domestic tax integrations don’t have a Xero equivalent, and that matters every January through April.

When to Pick Xero Growing

Xero Growing is the right call if you plan to work with anyone else on your books — now or within the next year. Every Xero plan includes unlimited users at no extra charge. Your bookkeeper, your CPA, and a business partner can all have their own logins with appropriate permission levels, and the monthly bill stays at $55. That’s the structural advantage, and it compounds over time.

Beyond user limits, Xero Growing removes Xero Early’s hard transaction caps entirely. The Early plan ($25/month) sounds cheap until you hit 20 invoices and 5 bills per month — which any active freelancer with more than a handful of clients will do by week three. Growing has no caps: unlimited invoices, unlimited bills, bank reconciliation, and quotes all included. For a working freelancer, Early is not a real starting point. Growing is.

The interface is another genuine differentiator. Xero was designed for business owners who are not accountants, and it shows. The dashboard reads clearly, accounting jargon is translated into plain language, and 88% of Xero reviewers specifically praise the interface. QuickBooks Online has decades of legacy complexity baked into its UI — it’s not unusable, but it carries the weight of every feature Intuit has ever added. If you don’t have an accounting background, Xero will feel less like a gauntlet.

Xero also integrates with Hubdoc (included free on Growing and above) for receipt capture, and connects with Gusto for payroll at $49/month plus $6 per employee if you ever need it. The app ecosystem spans over 1,000 integrations — enough to connect whatever the rest of your stack looks like.

One thing to flag before you sign up: Xero Growing increases from $55 to $59/month on October 1, 2026. If you’re reading this before that date, you can lock in a promotional rate. After October 1, budget for $59.

When to Pick QuickBooks Online Simple Start

QuickBooks Online Simple Start is the right call for freelancers who are genuinely flying solo and are embedded in the US tax ecosystem. Intuit’s integrations with American tax tooling are not marketing copy — they are a real operational advantage at year-end.

The TurboTax handoff is the clearest example. QuickBooks Online can export your data directly into TurboTax via the QuickBooks Live Tax workflow, which means your Schedule C preparation doesn’t require re-entering a year’s worth of income and expenses. If you file your own taxes and you use TurboTax, this saves hours. Xero has no equivalent native handoff for US sole proprietors.

The ProAdvisor network is the other piece. Intuit’s ProAdvisor program is enormous — tens of thousands of US accountants and bookkeepers have QuickBooks certifications, and many work preferentially or exclusively in QuickBooks. If your accountant is a ProAdvisor, or if you’re likely to hire one, staying in the QuickBooks ecosystem reduces friction and potentially reduces billable hours, because your accountant isn’t learning a new interface on your dime.

Simple Start covers the core bookkeeping functions a solo freelancer needs: income and expense tracking, bank reconciliation, invoicing, basic P&L and balance sheet, sales tax tracking, and 1099 prep. The feature set is narrower than Xero Growing — notably, bill tracking is absent — but for a one-person operation billing clients and tracking expenses, it does the job.

The pricing trajectory is worth watching. QuickBooks raised prices on Essentials, Plus, and Advanced effective August 1, 2026 — Plus now sits at $140/month. Simple Start was spared this round, but the pattern is clear. If you start on Simple Start and ever need a second user, you’re looking at Essentials at $85/month. That’s the trap: Simple Start is a good deal right up until the moment it isn’t, and the exit costs $47/month more.

What They Have in Common

Both tools clear the bar for real bookkeeping. Bank reconciliation, expense tracking, invoicing, basic financial reporting, and sales tax handling are all present at the respective entry tiers covered here. Neither will embarrass you in front of your accountant. Both have mobile apps. Both offer 30-day free trials.

The differentiation is not about whether they work — it’s about who you’ll share access with, how deep into the US tax ecosystem you live, and how much you want to fight the UI on a monthly basis.

What to Skip

If you’re not sure you’ve actually outgrown Wave, read the Wave vs FreshBooks comparison before committing to either of these tools. Wave is free, handles double-entry accounting, and covers the basics for freelancers billing fewer than a dozen clients. The tools here — $38 to $55 per month — make sense once Wave’s limitations (no bill tracking, limited reporting, slow support) are actively costing you time or creating real accounting gaps.

QuickBooks Solopreneur ($20/month) is worth a look if your needs are genuinely minimal — mileage tracking, income categorization, basic invoicing — but it is not double-entry bookkeeping in the traditional sense. If you need your books to be clean enough for a CPA to audit, QBO Simple Start or Xero Growing is the floor.

Zoho Books exists in this price range too ($20/month to start), and it’s a capable tool, but its US accountant network is thin compared to either Xero or QuickBooks. Unless you’re already in the Zoho ecosystem, it’s not the move for a freelancer prioritizing year-end tax simplicity.

The Decision in One Sentence

If your bookkeeper, accountant, or future business partner will ever need a login, Xero Growing at $55/month is cheaper than what QuickBooks will eventually charge you for that second seat. If you live and die by TurboTax and the ProAdvisor network, QuickBooks Online Simple Start at $38/month is the right tool and the right price.
