Your team is on six calls a day across Zoom, Meet, and Teams. Notes live in whoever-was-paying-attention’s head, or in a personal doc no one else can find. The moment a client calls back about something discussed last Tuesday, you’re in a group chat asking “does anyone remember what we said about the timeline?” Stop doing that. Just use Fireflies.ai.

  • The Pick: Fireflies.ai Business at $19/seat/month (annual) — unlimited storage, team analytics, CRM sync, works on every call platform
  • Runner-Up: Otter.ai at $8.33/user/month (annual) or $16.99/month — lower entry price, HubSpot integration on Pro, but weaker team-level analytics
  • Skip: Granola (no centralized team admin dashboard), Meetily (local-only, no shared workspace), Fathom (Superhuman acquisition creates roadmap risk — free tier future uncertain)
  • Cost: 5-person team pays $95/month on Business annual ($1,140/year); 10-person team pays $190/month ($2,280/year)

Why Fireflies.ai

Fireflies.ai does one thing every competing tool fumbles at the team level: it makes every meeting a shared asset, not a personal file. The bot joins your call on Zoom, Google Meet, Teams, or Webex — whoever scheduled it, whatever OS the host runs — and pushes a searchable transcript to a shared workspace everyone on the team can access. No one person is responsible for notes. No one’s memory is the source of truth.

The Business tier at $19/seat/month (annual) is the right plan for an active small team. Here’s what separates it from Pro:

  • Unlimited storage — Pro caps at 8,000 minutes per seat. On Business, nothing disappears. If you review a call from three months ago to prep for a renewal, it’s there.
  • Conversation intelligence — team-level analytics: talk-to-listen ratios, sentiment trends, topic tracking across the whole team. Managers can see patterns across calls, not just their own.
  • Team analytics dashboard — Pro gives you individual-level analytics; Business gives you consolidated visibility across everyone.
  • Integration Rules — Business lets you control which meetings push to your CRM automatically, so your HubSpot or Salesforce pipeline doesn’t fill with internal standups.

CRM sync is live from the Pro tier upward. Fireflies.ai pushes to HubSpot, Salesforce, Zoho, and Pipedrive. For any team that tracks client calls, this replaces the copy-paste-from-doc step that eats ten minutes after every external meeting.

The free plan is not usable for an active team. It caps at 400 minutes of storage per team — not per seat. If your team runs six one-hour meetings in a single day, that’s the entire cap gone by end of business. Older transcripts become inaccessible until you upgrade or delete recordings.

One genuine cost watch: Fireflies.ai Business comes with 30 one-time AI credits shared across the whole team. Advanced AI Skills, Voice Agents, and Autofill CRM each consume credits. If your team leans on those features daily, budget for add-ons — $5 per 50 credits per month. It’s not a dealbreaker, but it’s not free either.

If your team runs fewer than three meetings per person per week, Fireflies.ai Pro at $10/seat/month (annual) is enough. You get CRM sync, 8,000 minutes of storage per seat, and the core transcription. You lose team analytics and unlimited storage — which matters the moment you need to audit a call from six months ago or coach someone on their talk time.

Why Not Otter

Otter.ai is a legitimate runner-up. Pro costs $8.33/user/month on annual billing (or $16.99 monthly), and it includes HubSpot integration on the Pro tier — so if CRM push is your primary need and you want to spend less, Otter Pro is worth a look.

The gap opens at the team analytics layer. Otter’s Pro plan gives you 1,200 transcription minutes per month with a 90-minute cap per meeting. That cap bites on longer workshops, sales calls, or quarterly reviews. Otter Business removes the monthly minute cap and extends meetings to four hours, but costs $19.99/user/month annually — more than Fireflies.ai Business for equivalent team features.

Otter’s team dashboard is thinner than Fireflies.ai’s. You get activity logs and usage analytics on Business, but the conversation intelligence layer — sentiment trends, talk-time analysis across the team, topic tracking — isn’t there in the same depth. If you’re a manager trying to understand how your team handles objections across 50 client calls, Otter Business won’t give you that view. Fireflies.ai Business will.

Pick Otter if you’re a team of two to three people who need basic shared transcripts and HubSpot sync and want to keep costs under $25/month total. At that scale, the analytics gap doesn’t matter yet.

Why Not the Rest

Granola looked compelling when it had a privacy-first, bot-free pitch for Mac users. It has since expanded to Mac, Windows, iPhone, and Android — so the platform gap that once ruled it out for mixed-OS teams has closed. What hasn’t closed is the team admin problem. Granola has no centralized team admin dashboard with the workspace management depth that Fireflies.ai or Otter Business offer. You can share meetings with teammates, but there’s no consolidated analytics view, no manager dashboard, no CRM integration rules. For a solo knowledge worker who wants clean notes without a bot on their call, Granola is excellent. For a five-person team trying to build shared meeting history and review call patterns, it’s the wrong tool.

Meetily is not a team tool — it’s a local-first, privacy-first assistant for people who don’t want their meetings in the cloud at all. It processes everything on your machine using local Whisper or Parakeet models, which is genuinely useful for sensitive work. But there’s no shared workspace, no cloud sync by default, no meeting bot that joins calls autonomously, and no searchable history across the team. The MIT-licensed open-source version is free; a Pro tier runs $10/user/month. Neither is built for shared team notes. If you have a solopreneur on your team who handles sensitive client work and wants local-only transcription, point them to Meetily. Don’t try to run a five-person team on it.

Fathom was the easy pick six months ago. It has a generous free tier, clean UI, and strong individual notetaking. Then Superhuman announced the acquisition on September 14, 2026. Neither Fathom nor Superhuman has committed publicly to the long-term future of the free plan. Fathom’s 400,000+ monthly active users are largely on that free tier. When an acquirer absorbs a tool known for a free plan, the free plan is the first thing on the table. We’re not saying Fathom is dead — we’re saying building a team workflow on a tool whose roadmap is controlled by a new owner with no public commitment to the free tier is a risk that’s easy to avoid. Fireflies.ai isn’t going anywhere. Pick the tool your team can depend on in twelve months.

When to Revisit

Fireflies.ai Business scales cleanly from 5 to 25 seats. If you grow past 25 people and need SSO, custom data retention policies, or an enterprise security review, look at Fireflies.ai Enterprise at $39/seat/month. That tier is overkill now — don’t pay for it before you need it.

If budget is the primary constraint and your team has fewer than five seats, re-run the Otter comparison. At three seats on annual billing, Fireflies.ai Business is $57/month versus Otter Business at $60/month — close enough that the analytics depth of Fireflies.ai still wins. But Otter Pro at $25/month for three seats is a real option if you can live without team-level conversation intelligence and unlimited storage.

The five-person team math is straightforward: $95/month on Fireflies.ai Business annual. That’s $19 per person to turn every call into a shared, searchable, CRM-connected asset. For a team that bills client time, runs discovery calls, or does any kind of sales — that $19 pays for itself the first time someone avoids a follow-up call because the answer was already in the transcript.
