Fireflies vs Otter.ai — Meeting Machine vs Minute Cap
Fireflies Pro at $10/month beats Otter Pro for freelancers and small teams with steady calls. Otter Pro only makes sense for light solo use—its 90‑min cap pushes growth.
Fireflies.ai or Otter.ai
It depends — here’s on what.
Fireflies if you run recurring client calls and need CRM sync. Otter if you're solo, do short meetings, and every dollar counts.
Fireflies.ai and Otter.ai look nearly identical from the outside: both join your calls, both transcribe, both spit out summaries. But they are built for different users, and the wrong pick costs you — either money or disrupted meetings when you hit a hard cap mid-call.
The price gap is $1.67/month between their Pro tiers. That is not where the real difference is. The real difference is that Otter Pro caps you at 1,200 minutes per month with a 90-minute ceiling per meeting, while Fireflies Pro gives you 8,000 minutes of cumulative storage per seat and a 2-hour per-meeting limit. One of those limits will hurt a busy freelancer. The other probably won’t.
- The Verdict: Fireflies if you run recurring client calls and need CRM sync. Otter if you’re solo, do short meetings, and every dollar counts.
- Winner for freelancers and small teams: Fireflies Pro at $10/seat/month annual — storage, CRM, no nasty mid-month surprises
- Winner for light solo use: Otter Pro at $8.33/month annual — cheaper, simpler, but the minute caps are real
- Tied on: Transcription quality, mobile apps, basic summaries
- Watch out for: Fireflies’ AI credit system; Otter’s push from Pro to Business ($19.99/month)
The Verdict
Fireflies wins for any freelancer or small team running more than 10 client calls a month. Otter wins for the solo user who does infrequent, short meetings and genuinely cannot spend $10/month.
That split sounds simple, but there is a trap in the Otter column. Otter Pro’s 1,200 monthly minutes run out fast. Fourteen one-hour calls equals 840 minutes — manageable. But add a few 90-minute onboarding sessions and you hit the ceiling. At that point you either stop recording or upgrade to Otter Business at $19.99/month annual. That price is almost double Fireflies Pro, and suddenly the “cheaper” pick isn’t cheaper at all.
Fireflies is not perfect. Its AI features — summaries, AskFred queries, action-item extraction — run on a monthly credit pool. Pro gets 20 AI credits. Heavy AI users can burn through that and start paying for additional credits, adding real cost above the $10 sticker. But that overage is opt-in and tied to AI usage. Otter’s overage problem is structural: the minute caps exist whether you want them or not.
When to Pick Fireflies
Pick Fireflies Pro if you run client calls regularly, care about searchable transcripts, or use a CRM to manage client relationships.
The storage math alone makes it the right call for most freelancers. Eight thousand minutes per seat is a cumulative bank — not a monthly reset — that covers months of work without pressure. The 2-hour per-meeting limit accommodates virtually every client call, workshop, or onboarding session without interruption.
The CRM story requires one clarification: not every integration lands on Pro. Zapier is available on all paid plans, which covers most freelancer workflows. Native HubSpot integration is on Pro and above. Native Salesforce sync is gated to Business ($19/seat/month annual) and above — if Salesforce is core to your workflow, budget for that tier. For most freelancers running HubSpot or Pipedrive, Pro handles it. Meeting summaries and action items sync directly into deal records automatically; no copy-paste after the call.
The free tier is worth using for evaluation. Fireflies offers unlimited transcription on its free plan, with storage limited to what Fireflies’ docs list as 800 minutes of cumulative storage for free accounts (some older docs show 400 minutes — confirm the current plan page before committing) and 20 AI credits to test the full feature set. Storage fills on a cumulative basis rather than resetting monthly, so you can run real meetings before committing.
The credits system is the main caveat. Treat Fireflies Pro as a transcription-and-search tool with AI bonuses, not an unlimited AI research assistant, and the $10/month price holds. If you plan to query AskFred constantly or auto-generate detailed summaries for every call, budget for credit top-ups or consider Business at $19/month, which includes 30 credits and unlimited storage.

When to Pick Otter
Pick Otter Pro if you are a solo user with a light meeting schedule, calls that rarely exceed an hour, and a genuine preference for spending $8.33/month instead of $10.
Otter’s transcription is accurate — independent 2026 testing puts everyday accuracy around 85% on standard English — and the real-time captions during calls are clean and useful. The mobile app is well-regarded. If your primary use case is personal note-taking during occasional calls, Otter Pro handles it without friction.
Otter launched Live Assist on July 21, 2026: a real-time AI coaching agent that joins calls and surfaces in-the-moment guidance as the conversation unfolds. It is an Enterprise feature and more useful in sales or all-hands contexts than solo freelancer calls, but it signals that Otter is building toward something genuinely differentiated. No equivalent exists in Fireflies today.
The free tier is where Otter loses the plot: 300 minutes per month, a 30-minute per-conversation cap, and only 3 lifetime file imports. A freelancer with 10 client calls a month will exhaust the free tier before the month ends. Do not evaluate Otter’s fit based on the free tier — it undersells the product and gives you a false floor.
Go in knowing the upgrade path. If your meeting volume grows — more clients, longer calls, team members who also need access — Otter Business at $19.99/month annual is where you land. At that price, Fireflies Business at $19/month is a better deal: unlimited storage, a 3-hour per-meeting limit, deeper CRM controls including Integration Rules that filter which meetings sync to your CRM by title, host, or participant, and native Salesforce sync. If you are already considering Otter Business, you are in Fireflies territory.

What They Share
Both tools handle the basics competently. Real-time transcription, speaker identification, post-meeting summaries, and action-item capture work on both platforms without meaningful quality gaps. Neither requires hardware changes — they join calls as bots on Zoom, Google Meet, and Microsoft Teams. Both have functional mobile apps. Both let you search across your meeting history.
The shared baseline matters because it sets the floor. You will not make a bad transcription decision by choosing either tool. You will make a pricing and workflow decision, and that is where the choice actually lives.
What to Skip
Fathom is not in this comparison because Superhuman acquired it in September 2026 — a real platform-risk question for anyone building workflows on it. Granola takes a different approach entirely: no bot joins your calls; you type notes during the meeting and Granola enhances them afterward. Both are worth knowing about, but neither belongs in a direct Fireflies vs Otter evaluation.
The Decision Rule
More than 10 meetings a month, calls longer than 60 minutes, or any CRM in your workflow: use Fireflies. Under 10 meetings, calls under 60 minutes, no CRM, genuine budget pressure: use Otter Pro — but check your minute usage at day 20 of each month. If you are consistently at 80% of 1,200 minutes before the month ends, move to Fireflies before you find yourself moving to Otter Business instead.
