Granola vs Otter.ai — Invisible vs Affordable
Granola keeps no bot in your call but costs $14/month. Otter.ai sends a visible bot but costs $8.33. One question decides it: can your clients see a third-party participant?
Granola or Otter.ai
It depends — here’s on what.
Granola if your clients would bristle at a bot in the participant list. Otter.ai if they wouldn't — or if price is the primary constraint.
Both Granola and Otter.ai record your meetings and produce AI summaries. The difference is how they get into the call — and whether your client notices. Granola runs silently on your device; Otter.ai sends OtterPilot into the participant list. That’s not a UI preference. For consultants under NDAs, creative freelancers with skittish clients, or anyone whose work culture treats third-party bots as a red flag, the bot question is the whole decision.
- The Verdict: Granola if clients can’t see a bot. Otter.ai if they won’t care — or if you need a lower price point.
- Winner for bot-sensitive client work: Granola ($14/month Business, the only paid plan now)
- Winner for cross-platform, price-sensitive users: Otter.ai Pro ($8.33/month annual)
- Both support Zoom/Meet/Teams and have mobile apps — but the behavior differs: Otter joins calls as OtterPilot for live captions and cloud capture; Granola captures locally with no participant entry, and unlimited history plus integrations require the Business plan
- Watch out: Otter.ai trains its AI on your audio by default — opt out manually if that matters for your client work
The Verdict
The bot question is binary. Granola never appears in your participant list — it captures audio via your device mic and system audio locally. Otter.ai’s OtterPilot joins as a named participant that everyone in the call can see. If even one client would end a call over that, Granola is the pick.
The cost gap is real but not decisive. Granola’s free plan keeps note history for 30 days (some third-party summaries still describe this as a 25-note cap), and the only upgrade path is Business at $14/month — the solo and individual plans were retired in 2026. Otter.ai’s Pro plan is $8.33/month billed annually ($16.99 month-to-month), and its free tier is a genuine trial: 300 minutes/month, 30-minute per-conversation cap, live transcription, and Zoom/Meet/Teams integrations included at $0.
For freelancers and solopreneurs, the $5.67/month difference is real money over a year. But if bot visibility is a problem, Granola is not optional — it’s the only tool that solves it.
When to Pick Granola
Your client is a CFO who reads the participant list. Or you’re a legal consultant recording a sensitive briefing. Or you’re a freelance strategist whose retainer agreement includes an NDA that covers third-party AI tools. In any of these situations, Otter.ai is not an option — no matter the price.
Granola’s approach is fundamentally different from every bot-based notetaker. You type rough bullets during the call — even just a few keywords — and Granola listens through your device audio, then rewrites your bullets into full structured notes after the meeting. The hybrid model produces better output than fully passive tools, but it asks something of you: you have to stay engaged enough to jot shorthand. If you want to sit back and let the AI do all the work, Granola’s output degrades.
Granola runs on Mac, Windows, iOS, and Android (Android launched July 2026), so the platform constraint from earlier comparisons is gone. Verify the Windows desktop app is stable for your workflow before committing, but it is no longer Mac-only.
The Business plan at $14/month adds everything you need for real client work:
- Unlimited meeting history (the free plan keeps notes for 30 days before they roll off)
- Integrations with Notion, Slack, HubSpot, Zapier, Attio, and Affinity — all Business-tier features, not available on the free plan
- MCP support, so Claude, ChatGPT, and Cursor can query your meeting notes directly
- SOC 2 compliance; audio is deleted after transcription, not stored
The free plan is usable for testing — 30 days of note history (some third-party summaries still describe this as a 25-note cap) before notes start aging out — but if you’re billing clients, you’ll hit the history limit fast and the only exit is $14/month. There’s no $5 middle tier. Budget accordingly.

When to Pick Otter.ai
Your clients don’t care about the bot. Or they’re internal stakeholders. Or you’re running team standups, client onboarding calls, or any meeting where a participant-list entry for “OtterPilot” generates zero friction. In that case, Otter.ai Pro at $8.33/month is the better tool — cheaper, more flexible, and genuinely cross-platform without any desktop app required.
The free tier is the most functional in this category. Three hundred minutes per month covers roughly 10 half-hour calls. The Zoom, Meet, and Teams integrations are included at $0. The 30-minute per-conversation cap is the real constraint — anything longer requires upgrading, but most discovery calls and check-ins fit inside it. This is an actual trial, not a teaser that locks you out after two meetings.
Pro at $8.33/month annual gives you:
- 1,200 transcription minutes/month — roughly 13 one-hour calls or 20 forty-five-minute calls
- 90-minute per-conversation cap
- 10 file imports per month
- Salesforce, HubSpot, and Zapier integrations — these are Pro/Business tier features, not available on the free plan
One thing to handle before you commit: Otter.ai trains its AI on de-identified audio and transcripts by default. That’s in the privacy policy explicitly — “We train our proprietary artificial intelligence technology on de-identified audio recordings.” It is opt-out, not opt-in. Go into account data controls and flip the setting before your first client call. For work covered by NDAs or data processing agreements, this is not optional hygiene — it’s a legal requirement.

What They Share
Both tools handle Zoom, Google Meet, and Microsoft Teams. Both produce AI summaries with action items. Both have iOS and Android apps. Summary quality is comparable for standard meeting formats — the gap shows up in edge cases, not typical calls.
The similarity ends at the capture layer. Otter joins calls as OtterPilot, enabling live captions and cloud-based capture that works from any browser on any device. Granola captures locally through your mic and system audio with no call participant entry — but some features (unlimited history, all integrations) are gated behind the Business plan in a way Otter’s free tier doesn’t replicate. Neither tool is a transcription archive for power users: Otter.ai Pro’s 1,200 minutes/month is a real downgrade from its previous 6,000-minute limit — Otter cut that cap without cutting the price. If you record more than 20 hours of meetings per month, neither entry-tier plan covers you cleanly.
What to Skip
Fireflies.ai and Fathom are the two names that come up in this search. Skip both right now.
Fireflies is bot-based like Otter but starts at $10/month for Pro on annual billing and is built around conversation intelligence features aimed at sales teams — deal tracking, CRM sync, rep coaching. For solo note-taking, you’re paying for a sales platform you won’t use.
Fathom was the best free option in this category until Superhuman acquired it on September 14, 2026. The free plan future is genuinely uncertain post-acquisition. Calls recorded before the acquisition keep Fathom’s original data terms; calls recorded after Superhuman revises those terms don’t. That’s too much acquisition risk to recommend as a primary tool. If you’re already using Fathom, export your data now. If you’re choosing a new notetaker today, Granola and Otter.ai are the stable independent options.
