Your “CRM” is starred Gmail threads, a stale Notion table, and memory. Every few weeks a follow-up slips. You find out three days later that the client hired someone who responded faster — not because they were better, but because they followed up. That problem costs you projects, and it’s completely fixable at $0/month.
Just use HubSpot Free CRM.
- The Pick: HubSpot Free — deal pipeline, email open tracking, meeting scheduling links, $0/month forever
- Runner-Up: HoneyBook — $29/month (entry tier) if you want proposals, contracts, and scheduling in one branded client flow
- Skip: Bonsai (Zoom-acquired, uncertain roadmap, overkill for CRM-only needs), Monday.com (no free CRM tier, $36/month minimum for 3 seats), FreshBooks (invoicing-first, no pipeline, no email tracking)
- Cost: $0/month on Free; $15/seat/month annually on Starter ($20/seat/month-to-month)
- Real limit: 1,000 contacts and 10 custom properties on Free — not unlimited contacts, as older guides claim
Why HubSpot Free Is the Pick
Three things cause freelancers to lose projects to competitors who are no better: slow responses, missed follow-ups, and no visibility into where a prospect actually stands. HubSpot Free fixes all three without a subscription.
The deal pipeline is the core feature. You get one pipeline with drag-and-drop stages — set them to something like Lead → Proposal Sent → Active → Invoiced → Closed — and every client relationship becomes visible at a glance. No more “wait, did I send that proposal to Marcus or just think about it?” The pipeline is the answer.
Email open tracking is the second reason HubSpot Free is the pick. Install the Gmail or Outlook extension and you’ll know the moment a proposal email is opened. That single signal eliminates the guesswork from follow-up timing. You stop sending the nervous “just checking in” at day three and instead follow up the afternoon you see the open notification. Knowing someone read your email and didn’t reply is more useful information than wondering whether they got it.
Meeting scheduling links close the loop. HubSpot Free includes a personal scheduling page that connects to your Google Calendar or Outlook and auto-creates or updates a contact record when someone books. Every booked call lands in your CRM activity log without manual entry. For freelancers who lose prospects in the “what time works for you?” email chain, this alone justifies the setup time.
One honest correction to what you may have read elsewhere: HubSpot Free is not unlimited contacts. New accounts created after September 2024 are capped at 1,000 contact records. For a freelancer managing 10–50 active client relationships, 1,000 contacts is years of runway. But know the ceiling before you hit it.
The other real constraint is custom properties. Free accounts allow 10. A freelancer tracking project type, rate tier, referral source, preferred communication channel, and contract status will hit 8 properties quickly. You have two left before you face the decision to upgrade or get creative with existing fields.
What HubSpot Free does not do: automated email sequences, workflow automation, and custom reporting all require Starter or above. If you want HubSpot to automatically send a follow-up email three days after a proposal, that’s a Starter feature. The free plan gives you tracking and visibility; it does not execute actions on your behalf.
Pricing reality for solo freelancers:
- Free: $0/month — 1 pipeline, 2 users, 1,000 contacts, 10 custom properties, email tracking, meeting scheduler, HubSpot branding on all outbound elements
- Starter: $15/seat/month (annual, paid upfront) or $20/seat/month month-to-month — removes HubSpot branding, adds basic email sequence automation, simple deal-stage task triggers
The free-to-Starter jump makes sense in two specific situations: you need a second deal pipeline (say, one for new leads and one for active projects), or you want basic email sequence automation. For a solo freelancer who sends fewer than 5 proposals a month and manages relationships manually, the free plan holds indefinitely.

Why Not HoneyBook Instead
HoneyBook is a credible alternative for a specific type of freelancer: one whose pipeline problem is actually a proposals-and-contracts problem wearing a CRM costume. If you’re losing clients not because you fail to follow up, but because your proposal process is slow, disjointed, or unprofessional — HoneyBook solves that with Smart Files that combine proposal, contract, and invoice in one branded link, plus e-signatures and automated follow-ups baked in.
That’s a genuinely different tool for a genuinely different problem. HoneyBook is a client workflow platform. HubSpot Free is a pipeline CRM. If you already have a solid proposals process and the friction is in tracking and follow-up visibility, HubSpot Free wins at $0 versus HoneyBook’s paid tiers starting at $29/month. If your proposals look like PDFs attached to Gmail threads and clients ghost you because signing feels like friction, HoneyBook is worth the premium.
The other consideration: HoneyBook charges 2.9% + $0.25 per card transaction for payments. If you’re running payment collection through your invoicing tool, that fee compounds. HubSpot Free has no payment processing layer at all — it’s purely pipeline and communication tracking.
Try HoneyBook if your problem is proposals, not pipeline
Why Not the Alternatives
Bonsai — Bonsai by Zoom is a full client operations suite: CRM, proposals, contracts, projects, invoicing, scheduling. The Zoom acquisition closed December 2025. Zoom has stated its intention to fold Bonsai’s capabilities into the Zoom platform over time, which creates real uncertainty for anyone building a workflow around a standalone Bonsai account. Beyond the acquisition risk, Bonsai is overkill for a CRM problem. You’d be paying $25/month for proposals and contract features to get a deal pipeline. Use the right tool for the right job.
Monday.com — Monday’s CRM product has no free plan. The 14-day trial ends and the minimum commitment is $12/user/month with a mandatory 3-seat minimum — $36/month for a solo freelancer who needs exactly one seat. The free Work OS plan exists but has no deal pipeline and no email tracking. Monday started as project management software; the CRM layer is built on top of that foundation and priced accordingly. Wrong starting point, wrong price.
FreshBooks — FreshBooks is the right answer to the wrong question. If your problem is invoicing — recurring billing, late fees, expense tracking — FreshBooks at $23/month (Lite) is a strong pick for that job. As a CRM it has nothing: no deal pipeline, no email open tracking, no meeting scheduler. Contact records in FreshBooks are billing records. There is no way to see where a prospective client sits in your pipeline because there is no pipeline. Freelancers who confuse “I need to track clients” with “I need to track invoices” sometimes land here and wonder why it doesn’t show them who they haven’t followed up with. Different problem, different tool.
When to Revisit
HubSpot Free is the pick until one of three things happens. First: you add a third collaborator. The 2-user cap is the only hard wall for solo freelancers; the moment you bring on a VA or partner who needs their own login, you’re on Starter at $15/seat/month. Second: you hit 1,000 contacts. At 50 active clients per year, that’s roughly 20 years of headroom — but if you import a large existing contact list, you can hit the ceiling faster than expected. Third: you need automated sequences. If you want HubSpot to send a follow-up email on day 3 after a proposal without manual intervention, that requires Starter’s workflow automation.
None of those triggers apply on day one. Set up the pipeline this afternoon, import your active clients, install the Gmail extension for email tracking, and connect your Google Calendar to the meeting scheduler. Total setup time is under an hour. The follow-up problem you’ve been ignoring for two years is solved before dinner.
