FreshBooks vs Xero — Simplicity vs Scalability
Solo freelancer billing hourly? FreshBooks Plus at $43/mo wins. Adding a bookkeeper or second user? Xero Growing at $59/mo pays for itself fast. Here's the math.
FreshBooks or Xero for freelancers
It depends — here’s on what.
FreshBooks if you work alone and bill hourly. Xero if anyone else ever opens the books.
- The Verdict: FreshBooks if you work alone and bill hourly. Xero if anyone else ever opens the books.
- Winner for solo hourly billers: FreshBooks Plus ($43/mo) — time tracking included, cleaner interface, $576 cheaper over 3 years than Xero Growing
- Winner for teams or accountant access: Xero Growing ($59/mo) — unlimited users at no extra charge; adding one person flips the math decisively
- Tied on: Invoice quality, Stripe/PayPal payment processing, mobile apps
- Key trap to avoid: FreshBooks Lite’s 5-client cap hits faster than you think — archived clients count toward it
The Verdict
One question settles this: does anyone other than you need to log in?
If the answer is no — you’re a solo freelancer billing hourly, tracking your own time, sending invoices to 6–50 clients — FreshBooks Plus at $43/month is the pick. It includes time tracking on every plan, handles expense capture, and costs $576 less than Xero Growing over three years of solo use.
The moment a second person touches the account, the math reverses hard. Xero charges $0 per additional user. FreshBooks charges $11/month per extra team member. Add your accountant: FreshBooks now costs roughly the same as Xero. Add a VA or business partner on top of that: Xero is cheaper, and it has deeper accounting behind it.
There’s no trick here. The persona split is real and the numbers are unambiguous.
When to Pick FreshBooks
FreshBooks is built for people who bill time and need invoicing to feel effortless. You don’t need an accounting background. You don’t need to learn double-entry conventions. You open the app, log hours, send an invoice, get paid.
The Plus plan at $43/month is the right tier for most freelancers. Lite at $23/month is tempting, but the 5-client cap is a trap — it covers both active and archived clients, so you will hit the ceiling within 6–12 months of normal freelance activity and get forced to Plus anyway. Skip Lite and start at Plus.
What Plus gives you that matters:
- Time tracking and project billing on every plan — no add-on needed
- Expense tracking with receipt capture
- Recurring invoices and automatic payment reminders
- Double-entry accounting and bank reconciliation (useful when your accountant asks for year-end reports)
- Accountant access included
The 3-year solo math: FreshBooks Plus runs $43 × 36 = $1,548. Xero Growing (Xero’s equivalent unlimited-transaction tier) runs $59 × 36 = $2,124. FreshBooks saves you $576 over three years while covering everything a solo freelancer actually uses.
Where FreshBooks shows its limits: integrations top out around 100 apps, multi-currency is a late-tier feature depending on your plan and region, and if you ever need serious inventory or payroll workflows, you’ll hit a ceiling. But if you’re a service-based solo freelancer billing hourly, you won’t need any of that.
Don’t use FreshBooks if you’re adding users. The $11/month per-user fee erodes the price advantage immediately. Add two people and you’re at $65/month — more expensive than Xero with inferior accounting depth.

When to Pick Xero
Xero is accounting software that also does invoicing. FreshBooks is invoicing software that also does accounting. That distinction matters when a bookkeeper sits down to close your books at month-end.
The Growing plan at $59/month is where Xero becomes viable for active freelancers — the Early plan at $27/month caps you at 20 invoices and 5 bills per month, which any working freelancer burns through fast. Growing gives you unlimited invoices, unlimited bills, and bank reconciliation that accountants actually like working with.
The killer feature is the user model. Unlimited users at no extra charge means:
- Add your accountant: still $59/month
- Add a VA to handle invoicing: still $59/month
- Add a business partner: still $59/month
Compare that to FreshBooks: each of those additions costs $11/month more. Two extra users and FreshBooks costs $65/month to Xero’s $59/month — and Xero has stronger accounting under the hood.
The 1,000+ integrations aren’t marketing fluff. Xero connects directly to Stripe, Shopify, HubSpot, Gusto, and most payroll and eCommerce tools a growing business touches. FreshBooks connects to around 100 apps. If your business is simple, 100 is enough. If it’s not, Xero’s ecosystem is a genuine advantage.
One honest caveat on time tracking: Xero’s Growing plan does not include project-based time tracking by default. You need the Track Projects add-on, which starts at $7/month per active user. For a solo on Xero Growing who needs time tracking, that’s $59 + $7 = $66/month — more expensive than FreshBooks Plus at $43/month. If time tracking is your core workflow, this tips the solo math back toward FreshBooks.
Don’t use Xero if you work completely alone and primarily need time-tracked invoicing. The $16/month premium over FreshBooks Plus buys you accounting depth and unlimited users you’re not using yet. Wait until you have a real reason to pay for it.

What They Share
Both tools handle the core freelance billing stack without drama:
- Professional invoice templates that don’t look like they were made in Excel
- Stripe and PayPal integration for online payments (both charge similar processing fees — roughly 2.9% + $0.30 per transaction, so this isn’t a differentiator)
- Mobile apps that work well enough for approving invoices on the go
- Bank reconciliation on their mid-tier plans
- Accountant access, so whoever does your taxes isn’t flying blind
If you’re choosing between them purely on invoicing quality, you will not notice a meaningful difference. The split lives in the user model and accounting depth.
What to Skip
Bonsai and Wave come up in this category. Wave’s free tier is genuinely useful for someone billing under five clients with no complexity — but its support is email-only with 24–48 hour response times, and the payment processing fees are steep enough to hurt on any real volume. Bonsai bundles proposals and contracts with invoicing, which is valuable for project-based freelancers, but it’s not an accounting tool. Neither handles the accountant-collaboration and reconciliation workflows that FreshBooks Plus and Xero Growing both cover. If you’re comparing either of those two tools and land here — you’ve already outgrown Wave and Bonsai.
The Three-Year Math, Summarized
Solo, no time tracking needed on Xero:
- FreshBooks Plus: $1,548 over 3 years
- Xero Growing: $2,124 over 3 years
- FreshBooks saves $576
Solo, needs time tracking, Xero Growing + Projects add-on:
- FreshBooks Plus: $1,548
- Xero Growing + Projects ($7/user): $2,376
- FreshBooks saves $828
Solo + accountant access, no time tracking:
- FreshBooks Plus + accountant ($11/mo): $1,944
- Xero Growing (unlimited users): $2,124
- FreshBooks saves $180 — gap nearly closed
Solo + accountant + one more user:
- FreshBooks Plus + 2 extra users ($22/mo): $2,340
- Xero Growing (unlimited users): $2,124
- Xero saves $216 — and Xero wins the accounting depth argument too
The crossover point is real and it arrives with the second user. If there’s any chance your business adds a bookkeeper, a VA, or a partner in the next 18 months, start on Xero now. Migration is friction you don’t need mid-year.
