Just Use FreshBooks Plus for Small-Team Invoicing
A 2–5 person service team billing 20–50 clients needs more than freelance invoicing. FreshBooks Plus at $43/month is the right tier — here's exactly why.

Someone on your team just sent an invoice from their personal PayPal. Someone else is chasing the same client from a different inbox. You added a third person last month and just noticed your invoicing tool is about to charge you $11 more per seat per month — forever. This is the exact moment most small service teams either solve their invoicing infrastructure or let it turn into a $200/month mess by the time they hit 10 people.
The answer is FreshBooks Plus. At $43/month for the first seat, plus $11/month per additional team member, it’s the only plan in FreshBooks’ lineup that covers real multi-user invoicing, double-entry accounting, and a 50-client cap without making you pay Premium’s $70/month for features you won’t use for another year.
- The Pick: FreshBooks Plus — $43/month base, $11/month per additional seat, up to 50 billable clients
- Runner-Up: Wave Pro — $19/month, works for a solopreneur growing into a 2-person shop, but not built for teams splitting invoice ownership
- Skip: QuickBooks Online (accounting overkill at higher prices post-2026 increases), Xero (unlimited users but designed for bookkeeper-led workflows), Bonsai (Zoom acquisition makes it a long-term platform risk)
- Cost: 2-person team = $54/month; 5-person team = $87/month
Why FreshBooks Plus
Every FreshBooks plan ships as single-user. That’s the first thing to internalize. You pay the base plan rate, then $11/month for each person you add. A 2-person team on Plus pays $54/month. A 5-person team pays $87/month. That’s not a bug in the pricing — it’s the model. The math is predictable, which matters when you’re trying to build a real budget.
What Plus actually unlocks for that price:
- Double-entry accounting — General Ledger, Trial Balance, Chart of Accounts, and Accountant Access (a personalized CPA login). Lite has none of this.
- Bank reconciliation — automatic matching of transactions to your bank feed. On Lite, you’re doing this manually or not at all.
- Proposals — create, send, and get client sign-off without leaving FreshBooks. A service team closing project work needs this.
- Recurring invoices and automated late payment reminders — the two things that kill the most billable hours in a 5-person shop.
- Client retainer billing — if any of your clients are on retainer, this is locked behind Plus and above.
The 50-client cap is the real ceiling to track. If you’re billing 20 active clients with a 5-person team, you have room. If you’re running a high-volume agency doing project work with 60+ clients in your roster at any time, you’re already in Premium territory — and Premium at $70/month removes the cap and adds project profitability tracking and accounts payable. The upgrade trigger is client volume, not headcount.
One honest limitation: FreshBooks has no role-level permissions between seat types. A Manager gets full access — there’s no way to restrict them to specific clients or projects. If your team has someone who should only see their own client invoices, FreshBooks can’t enforce that. For a 2–5 person team where everyone is a principal, this is rarely a problem. For a shop where you’re bringing on junior billing staff, it’s a gap worth knowing.
Payment processing is 2.9% + $0.30 for Visa/Mastercard and 1% for ACH. The ACH rate is competitive. The card rate is standard. What’s less standard: user reviews consistently flag payment processing delays — ACH deposits in particular can sit longer than expected. If your clients pay by card exclusively and fast cash flow is critical, this is worth factoring in.

Why Not Wave
Wave is the obvious counter-argument. It’s free at the base tier and $19/month for Pro. For a solopreneur billing 5–8 clients who just hired their first contractor, Wave Pro is a legitimate answer.
For a 2–5 person team billing 20–50 clients, it’s the wrong tool.
Wave Pro’s “unlimited collaborators” sounds like a win over FreshBooks’ per-seat pricing until you understand what collaboration actually means in Wave. The platform is designed for one person managing their own books, with the ability to add a payroll manager or accountant. It is not designed for two or three people splitting invoice ownership across a client roster — deciding who owns which client relationship, who follows up on late payments, and who closes the books each month.
The specific things Wave Pro lacks for this persona:
- No invoice ownership model for team members — everyone sees everything, no assignments
- No double-entry accounting depth comparable to FreshBooks Plus (Wave has double-entry accounting as a feature, but the workflow is built for solo bookkeeping)
- No proposals with e-signatures — a deal-breaker for service teams closing project work
- Support is email-only at 24–48 hours; no live support without an add-on
Wave remains the right pick for a solopreneur who just hired a first contractor and wants to keep costs near zero. The moment you have two people actively co-managing client billing, FreshBooks Plus is worth the $54/month.

Why Not the Rest
QuickBooks Online is the most common alternative you’ll encounter in a Google search, and the pricing alone should settle it for most small service teams. After two rounds of price increases in 2026, QuickBooks Essentials — the plan with multi-user support — sits at $75/month. Plus, which adds project profitability, is $115/month. For a 3-person service team that wants clean invoicing, time tracking, and payment collection, you’re paying $75–$115/month for accounting depth you don’t need yet. FreshBooks Plus handles invoicing and double-entry accounting for a 3-person team at $65/month total. QuickBooks is the right answer when your business has inventory, complex payroll, or a dedicated bookkeeper running reports. It’s not the right answer for a design studio or consulting team just trying to bill clients and collect payment.
Xero presents a more interesting case than the assignment framing suggests. Xero Growing — the mid-tier plan — runs approximately $38–42/month and includes unlimited users, which means a 5-person team on Xero pays the same monthly rate as a 1-person team. On pure per-seat math, Xero is competitive with FreshBooks Plus once you add three or more seats. The reason Xero isn’t the pick for this persona: Xero’s workflow is optimized for accountant-led bookkeeping. Bank reconciliation, chart of accounts, and reporting are all more powerful than FreshBooks — and more complex. A 3-person consulting team where the founder does the books on Sunday afternoons does not need that complexity. If your business already has an accountant who manages the books in the tool, Xero becomes a serious option. If you’re the one doing it, FreshBooks Plus is faster and easier without meaningful trade-offs at this scale.
Bonsai covers proposals, contracts, and invoicing in one product, which is genuinely appealing for creative teams. The problem is the December 2025 Zoom acquisition. As of July 2026, Bonsai is still running as a standalone platform with unchanged pricing. But Zoom has stated the plan is to incorporate Bonsai’s capabilities directly into Zoom over time. That means every workflow you build in Bonsai today is building toward a migration you don’t control. The strategic risk is real, even if it’s not yet realized. If you’re on Bonsai now, stay — but document an export plan. If you’re choosing a new invoicing tool for a small service team, don’t start on a platform mid-acquisition. HoneyBook is the cleaner pick for creative teams who need proposals plus invoicing in one product.
When to Revisit
FreshBooks Plus is the right tier until you hit 50 billable clients — at which point upgrade to Premium ($70/month) to remove the cap and get project profitability tracking. Don’t upgrade before you hit that ceiling; Premium’s additional features won’t earn back the $27/month difference for most small service teams.
If your team grows past 5–6 people and you’re starting to need real role-based permissions — junior staff who should only see their own clients, not the full roster — FreshBooks’ flat Manager access model breaks down. At that point, Xero or QuickBooks Plus becomes worth the complexity trade-off. But that’s a 10-person problem, not a 5-person one. For now: just use FreshBooks Plus.
